At Deutsche Telekom, the majority out of 105,000 employees in Germany enter their working hours in a “clock-registration-terminal”, being placed in every office building. 1,000 terminals for working hours’ registration exist group wide in Germany. The terminals are technically outdated/default and cannot be used in the future anymore, nor repaired due to insolvency of the manufacturer.

As we live in the digital age, we wanted to create a digital solution for replacement of the terminals – one that is fun to use because it is smart and fancy. The new App for entering working hours is flexible, especially designed for people working in field service or other mobile working forms, it can be used on- and offline and is far less expensive than any other terminal-solution.

It was the first time we created a HR-App. With this digitization project, we automated repetitive process-steps and gained easy usage. This gives us space, for our employees’ work, to become more and more project orientated, consultant, more networking, steering and creative than ever before. We have been implementing the Clock-in-App firstly as a pilot for a small group of around 30 volunteers of the Deutsche Telekom Services Europe (DTSE). In February 2018, the Clock-in App was DTSE-wide rolled out. In a next step, we are going to roll out the App group wide.

With the implementation of the Clock-in-App we are about to kick-off the second fully digital topic within Human Resources - a product that has an appealing feel with corporate brand design, that arouses curiosity and the capability to get along in a nascent digital world. It is self-explaining and works on- and offline, recording the data a 100% reliable and the bookings are visible promptly. As soon as the Clock-in-App is connected to a network again, it automatically saves the bookings as soon as it finds a network connection.

Moreover, the App guarantees mandatory data security. Finally, it is “barrier-free”, easy to understand as well as fun to work with and use.

The Clock-in-App, only designed for an internal usage, is quite a handy innovation for our company, because it can be used from official smart phones – no matter whether it is Android or iOS driven. As a company in telecommunication, all mobile working employees within the DT-Group own a business smartphone. They simply download the App by taking a photo of a published QR-Code. On the start display you see time of day and buttons for clock in and clock out registration. Manually post recording of working hours is also easily possible and a list of your bookings appears. The transformation to the interface “My Portal” happens promptly.

The implementation of the App comes along with a great quantitative impact. Due to the Clock-in-App it is possible to dismantle the old terminals (1,000 terminals). Because of the dismantling of the old terminals, a cash out reduction of more around 600,000 euro per year is possible as there will be no maintenance costs anymore. Additional, development and implementation costs of the Clock-in-App were low, compared to a new terminal solution.

This solution has been especially designed to support the working in a digital world spirit – no matter where they are working (external meeting, exhibition, home-office – anywhere). For our employees the Clock-in-App is the most flexible possibility to record their working hours. The App goes along a sign of trust to our employees and pays into the Employer Branding’s account. Furthermore, the new App is a great opportunity to encourage our employees to start working with digital HR tools and inspire them to use it with pleasure due to easy navigation and appealing design.
